  • Emergency Contact: Name and contact number of a trusted individual.
  • Health Information: Current concerns, psychological history, physical health conditions, sleep patterns, and any medications.
  • Session Notes: Brief, confidential notes taken by the counsellor during or after sessions to track progress and treatment goals.

3. How We Use Your Information

Your information is collected solely for the purpose of providing effective counselling services. Specifically, it is used to:

  • Understand your background and tailor the therapeutic approach to your needs.
  • Communicate with you regarding appointments, scheduling, and follow-ups.
  • Respond to emergencies (in rare cases where your safety is at risk).

Mana-na will never sell, rent, or trade your personal information to third parties for marketing or commercial purposes.

4. Confidentiality & Its Exceptions

Confidentiality is the cornerstone of therapy. Everything discussed in your sessions, as well as your identity as a client, is strictly confidential. However, there are legal and ethical exceptions where a counsellor is mandated to break confidentiality:

  • Harm to Self or Others: If there is clear, imminent danger that you may cause serious harm to yourself or another person.
  • Child or Elder Abuse: If there is reasonable suspicion of ongoing abuse or neglect of a minor, elderly person, or vulnerable adult.
  • Court Order: If a judge issues a subpoena or court order requiring the release of your records for legal proceedings.

If any of these situations arise, the counsellor will make every effort to discuss the matter with you before taking action, whenever possible.

5. Informed Consent for Therapy

By engaging in counselling services at Mana-na, you acknowledge and agree to the following:

Nature of Therapy

Therapy is a collaborative process. While it can lead to significant personal growth and relief from distress, it may also involve discussing uncomfortable feelings or recalling unpleasant memories. There are no guarantees of specific outcomes.

Cancellations & Rescheduling

Your appointment time is reserved specifically for you. If you need to cancel or reschedule, please provide at least 24 hours' notice. Late cancellations or no-shows may be subject to a cancellation fee, as it limits our ability to offer that time to someone else in need.

Emergency Situations

Mana-na is not an emergency service. We do not provide 24/7 crisis support. If you are experiencing a severe mental health crisis or having suicidal thoughts, please reach out to your nearest hospital or a dedicated crisis helpline immediately (such as Tele MANAS at 14416 or KIRAN at 1800-599-0019).

6. Data Storage & Security

We take your privacy seriously and implement reasonable security measures to protect your physical and digital records. Digital communications, such as email and WhatsApp, are used primarily for scheduling and administrative purposes. Please avoid sharing highly sensitive personal health information over unsecured digital channels.

As a client, you have the right to:

  • Ask questions about your treatment, the therapeutic approach, and goals.
  • End therapy at any time, though it is usually most beneficial to have a final closure session.
  • Request a summary of your treatment or discuss how your records are maintained.
